MSU ALUMNI BAND Alumni Band Executive Board Meeting Minutes January 26, 1997 Present: Bob Rice, Gordon Spink, Gary Baron, Dale Bartlett, Dave Catron, John Madden, Meeting was called to order at 2:03 pm by President Bob Rice Secretary's Report: 1. Motion by Dale Bartlett to accept minutes from November 24, 1996 meeting as written. Seconded by Gordon Spink. Passed all ayes. Treasurer's Report: 1. Detailed treasurer's report is attached. 2. The paperwork for the deposit of $5,000 for the anniversary music commission into a CD cannot be found at this time. Doug Goodrich is pursuing the matter. OLD BUSINESS Dem Hall 1. There was a meeting held with members of the Music Department, a designated fundraiser, the provost and a person doing the feasibility study. a. Discussed was the possible renovation and additions to dem hall for the athletic bands. b. A 700-1,000 seat auditorium probably will not happen as part of the renovation but may be considered at an alternate site, such as the Morrill Hall site, later. c. There is also a possibility that a new facility could be built at a new location. 2. Gordon Spink stated that an Arts & Letters group agreed to commit $32,000 to the feasibility study By-Laws 1. In an effort to find and keep a copy (hopefully, on disk) the official By-Laws of the Alumni Band, Gary Baron will contact Nancy Nelson, who was the person largely responsible for getting the By-Laws submitted to the State of Michigan. 2. John Madden submitted a draft of a mission state for review. After taking several suggestions, it will be reworked for the next meeting. John to email a copy of the revised mission statement to secretary for inclusion with the minutes. 3. Bob Rice is going to check with previous board presidents, such as Monte Sheedlo, to see what previous documentation may have been produced. Plaques 1. Bob Rice has contacted Henry Nelson, Carl Knipe and Mike Klass to get pictures of former presidents. 2. John Whitwell to getting cost information for the plaques for the scholarship winners. Fall Reunion 1. Fall reunion date is September 13th for sure (Memphis game). 2. John Madden recommended the Breslin Center as a music rehearsal site. This would solve the space and acoustics problems but would further away from the rehearsal field. We do not know the availability or cost of using Breslin at this time. The possibility of using tents was also discussed. Munn Arena was also mentioned but seating would be difficult in this facility. John Madden is to look into all these options. 1. A possible concert prior to entrance into the tunnel was discussed. The best alternative appears to be marching from Landon Field to Dem Hall Field, playing a concert consisting of some marches and cheers, and then proceeding to Spartan Stadium. NEW BUSINESS Spring Reunion 1. Spring reunion is to be held April 20, 1997 at the Wharton Center. 2. A discussion was held about extending the rehearsal time in a effort to present a more polished performance. Bob Rice will contact John Whitwell to determine if a 9:30 to 12:00 rehearsal time is possible. 3. A photographer will be contacted to take a group picture of the during the reunion. Newsletter 1. Still need letters from directors. 2. Revised questionnaire with self addressed stamped envelope to be included. Executive Secretary 1. A discussion was held about the stipend received by the Executive Secretary relative to the time and effort she puts in for the Alumni Band. 2. Motion by Gordon Spink to increase the Executive Secretary's stipend from $500 per annum to $750 per annum effective with the next payment. Seconded by Gary Baron. Passed all ayes. 3. Executive Secretary should create a job description outlining her responsibilities and tasks. All official board members should submit job descriptions to the Secretary. Conference Room 1. The music directors side chairs will be used around the 12' conference table in the Music Building room that is to house the mementos of the Alumni Band. The question of whether Alumni Band should or could replace the side chairs for the music directors was tabled until next meeting.
