The Board of Trustees policy states that all university records are property of Michigan State University. The creating unit administrator and the director of the University Archives and Historical Collections have joint responsibility in determining what are permanent records of the University and when they will be transferred to the Archives. No university records can be destroyed without the approval of the director of the Archives.

The permanent record of the University's history is well documented due to the compulsory Records Management Program. However, materials vital to University and community history at times exist beyond the borders of campus. The donation of family papers, alumni materials, organization/institution records, visual materials including films and photographs, and other items is an act of lasting significance and generosity. Anyone who has or knows of such materials is strongly urged to contact the MSUAHC.
